Some offices are just hard to work in, and no matter how good the people are who are there or how simple the tasks are, it’s all going to take longer and feel more difficult just because of the environment – a disorganised office is a terrible thing for productivity. 

After all, if no one can ever find anything properly, stock ends up in the wrong places, paperwork piles up in corners because there’s nowhere sensible for it to go, and everyone just spends too much time going back and forth fixing little issues that shouldn’t exist in the first place, how is anything going to get done? And as soon as an area starts to get messy, it’ll just get messier unless something’s done about it – after all, if everyone else is just dumping things on desks or in a cupboard, why wouldn’t you do it too? However, eventually you’ll end up with a system that has to operate around the clutter instead of dealing with it, and once that happens, things are going to slow down because people waste time looking for things or asking for things. 

If things are really messy and cluttered, it’s worth having a big clear out and a tidy up. Yes, it’ll take time and it probably won’t be a lot of fun, but if you get everyone involved it’ll be quicker, and once it’s done, and there’s a place for everything, clutter will be a lot less likely.

A lot of businesses organise spaces based on how things look, but that might not be the best thing to do because you really need to organise the office based on how people actually move around during the day and how they work. 

For example, you might have printers that aren’t anywhere near the teams that need to use them all the time, or perhaps there’s storage, but it’s too far away from working areas, which means it takes a long time to get anything and no one puts anything away. 

Take a look at how people are moving around and what they’re doing and then arrange things around that – it’ll be quicker, more efficient, and everyone will be more productive, not to mention more comfortable and happy, as a result. 

Paperwork Creates Chaos 

Even businesses that are trying to move everything online still have a lot of paperwork, and if you’ve not started the change to digital files yet, you’ll have even more of it, and it’ll probably be all over the place. 

Paperwork includes things like contracts, invoices, delivery notes, reports, forms, meeting notes, and so much more, and it can all end up just sitting around getting in the way. That’s going to make everything feel a lot messier and cramped, and, as we’ve said, important things tend to go missing when it’s all just laying about with no real structure or organisation to it.

Boring storage is a good thing – you don’t want your storage systems to attract attention or get in the way, you just want them to be the place where things are kept, and where people can get to them easily. That’s it. Anything more is totally unnecessary. 

If you’ve got good storage, equipment gets returned properly, supplies stay organised, and no one has to keep asking where things are because it’s clear and the system you’ve put in place makes sense. Remember, as soon as storage gets confusing or difficult to use in any way, productivity can really drop, especially when people start creating their own official systems that only make sense to them or are actually slower than sorting out the storage in the first place.
